Job Summary:

We are seeking a detail-oriented and organized Project Administrative Coordinator to support our project management and accounting teams. This role is responsible for performing a variety of administrative tasks related to project setup, billing, and documentation. The ideal candidate will have experience with AIA billing, time and materials (T&M) expense tracking, and project accounting systems.

Key Responsibilities:

  • Record and code project labor charges accurately.

  • Perform data entry for expense reports and ensure timely submission.

  • Assemble and photocopy backup documentation for client invoices.

  • Maintain and file project accounting data and documentation.

  • Assist with AIA billing processes and ensure compliance with client requirements.

  • Support project setup activities, including creation and maintenance of project files.

  • Track and report T&M expenses for ongoing projects.

  • Collaborate with project managers and accounting staff to ensure accurate and timely billing.

  • Provide general administrative support to the project team as needed.

Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.

  • 2+ years of experience in administrative support, preferably in a project or accounting environment.

  • Familiarity with AIA billing and T&M expense tracking.

  • Strong attention to detail and organizational skills.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

  • Ability to manage multiple tasks and meet deadlines.

  • Excellent communication and interpersonal skills.

Preferred Skills:

  • Experience with project management or accounting software.

  • Knowledge of construction or engineering industry billing practices.
