Accounts Receivable and Grant Accounting Specialist
Temporary Position – Fully Onsite
Location: Newark, NJ
Job Description
Review daily banking reports to ensure deposits are accurately recorded and posted in Banner ERP within two business days of receipt
Prepare weekly cash projection reports for expected grant receivables and coordinate with Grant Accountants as needed
Review and process refund requests in Banner, coordinate submissions to Accounts Payable, and maintain refund tracking logs
Prepare and analyze Grants Aging Reports to monitor trends, collection risks, outstanding balances, and compliance with internal collection procedures
Calculate reimbursement amounts for federal Letter of Credit (LOC) drawdowns based on monthly expenditures and prepare draw schedules
Review draw schedules for expired or expiring awards, expenditure discrepancies, and final drawdowns while communicating issues with Grant Accountants
Process grant billing in Banner, reconcile billing to draw schedules, and maintain supporting documentation and confirmations
Prepare weekly and monthly reconciliations for grant-related accounts, unapplied payments, bank accounts, and general ledger activity
Process journal entries and support additional accounting and reporting functions as needed
Generate monthly receivable trend analyses, ad hoc reports, and perform other duties as assigned
Skills & Qualifications
Strong knowledge of grant accounting principles and regulations, including Uniform Guidance
Understanding of receivables management best practices
Experience with Banner ERP or similar accounting systems preferred
Excellent Excel and data analysis skills
Strong analytical, organizational, and problem-solving abilities
Excellent written and verbal communication skills
Ability to adapt quickly, manage multiple priorities, and work independently
Strong attention to detail and accuracy
Knowledge of university grant and receivable procedures preferred
Pay Range: $30/hr-$40/hr
