Project Accounting Coordinator
LHH is assisting with a search for a Project Accounting Coordinator for a client Kansas City, KS to assist with coordination and billing for construction projects. Pay for this role is competitive based on experience. We are looking for some to work on-site with at least 2 years of construction billing, ideally AIA, T&M and sales tax experience. RESPONSIBILITIES:
Provide administrative support to project managers and office staff
Manage and organize project documentation (drawings, RFIs, submittals)
Enter and update project data in accounting systems
Assist with shop drawings, submittals, and production coordination
Track tax exemption certificates and material costs
Coordinate vendor documentation (W9s, COIs)
Distribute job documents to internal and external stakeholders
Set up projects and prepare daily site reports
Support procurement and logistics coordination
Communicate with designers and engineers throughout project phases
Issue purchase orders and manage billing processes
Maintain project tracking systems and update spreadsheets
Handle office supply orders, mail, and shipping
Process permits, contracts, timecards, change orders, and other documentation
Monitor union rate updates and customer rate sheets
Perform other duties as assigned
REQUIREMENTS:
High school diploma or GED
At least 2 years of experience providing billing or project support in the construction industry
Proficiency in Microsoft Excel
Familiarity with construction management software (e.g., Spectrum, Procore)
Experience handling sales tax for Kansas and Missouri
Knowledge of T&M and AIA billing processes
Strong organizational skills and attention to detail
Ability to manage multiple priorities and meet deadlines
Proficiency in Microsoft Office (Word, Excel, Outlook)
Excellent written and verbal communication
Ability to maintain confidentiality and work collaboratively in a team environment
