Legal Billing Specialist

Location: Houston, TX (On‑Site)
Employment Type: Direct Hire
Compensation: $78,000–$90,000 (depending on experience)

Overview

A reputable professional services organization is seeking a Legal Billing Specialist to join its accounting operations in Houston. This role plays a critical part in the end‑to‑end attorney billing lifecycle, ensuring accurate invoicing, compliance with client billing guidelines, and timely submission through multiple billing formats and platforms. The ideal candidate brings strong attention to detail, confidence working with legal professionals, and hands‑on experience with law firm billing systems.

Key Responsibilities

  • Prepare and review monthly draft invoices, incorporating edits and feedback from attorneys and support staff

  • Produce final client invoices under a range of engagement structures, including hourly, flat‑fee, and alternative billing arrangements

  • Submit client bills through approved delivery methods, including electronic billing systems and direct client transmission

  • Resolve billing rejections, adjustments, corrections, and resubmissions in accordance with client requirements

  • Process authorized write‑downs, write‑offs, and other billing adjustments for time and expenses

  • Manage internal and employee‑related billing matters, including coordinating payments and clearing outstanding balances

  • Monitor time entry compliance and generate follow‑up reporting for missing or late submissions

  • Develop recurring and custom reporting related to billing activity, time capture, and collections

  • Apply retainers and trust funds appropriately and coordinate overpayment refunds as needed

  • Open new matters in the billing system, ensuring accurate setup aligned with client billing terms

  • Maintain and update matter records, including approved changes to billing instructions

  • Provide backup support for administrative or compliance‑related workflows as required

  • Assist with accounting close activities and special projects during month‑end and year‑end cycles

Qualifications & Experience

  • Prior experience in a legal or professional services billing environment required

  • Familiarity with law firm billing operations, attorney timekeeping, and client billing guidelines

  • Working knowledge of Aderant or similar legal billing software strongly preferred

  • High level of accuracy and strong analytical ability when reviewing financial data

  • Proven ability to manage multiple deadlines in a fast‑paced environment

  • Professional communication skills with the confidence to interact directly with attorneys and stakeholders

  • Advanced proficiency in Microsoft Excel and working knowledge of Microsoft 365 tools

  • Demonstrated ability to use discretion, sound judgment, and a collaborative mindset

  • Willingness to work outside standard business hours when business needs require
