We are seeking a proactive and detail-oriented Billing Specialist to support client billing operations. This role involves preparing customized invoices, reconciling payments, monitoring accounts receivable, and ensuring compliance with client billing guidelines. The ideal candidate will be comfortable working independently and collaboratively with internal stakeholders to ensure accurate and timely billing.

Key Responsibilities:

  • Prepare and review client invoices in customized formats based on specific requirements.

  • Perform override calculations and adjustments as needed to meet client and internal standards.

  • Assist with identifying and reconciling incoming payments.

  • Monitor aging of unbilled fees, costs, and accounts receivable for assigned stakeholders.

  • Collaborate with internal teams to resolve aged billing items and support collection efforts.

  • Coordinate billing and collections on behalf of the accounting department.

  • Support budget preparation and reporting for client accounts.

  • Utilize billing software (e.g., 3E) to maintain and generate billing data and reports.

  • Create and modify reports based on stakeholder requests.

  • Communicate with clients regarding billing timelines, rate inquiries, and statement concerns.

  • Compile billing and rate data for monthly, quarterly, and annual reporting.

  • Ensure accuracy of billing and payment data, including processing write-offs.

  • Interpret and apply client billing guidelines, ensuring compliance with internal policies.

  • Provide basic financial analysis and prepare charts, graphs, or reports as requested.

  • Manage special and ad hoc projects assigned by supervisors or stakeholders.

Qualifications:

  • Associate’s degree in Accounting, Finance, or related field preferred.

  • 2+ years of experience in billing, accounting, or financial operations.

  • Strong proficiency in billing systems and Microsoft Office Suite.

  • 3E Software Experience Required

  • Strong communication and interpersonal abilities.

  • Ability to manage multiple priorities and meet deadlines.
