This role is direct hire and paying up to $85k/year

Position Overview
Our client, a real estate investment firm, is seeking a Building Manager / Property Administrator to support the day-to-day oversight of a fully occupied commercial office building. This is a new, permanent role created to separate traditional office administrative duties from specialized commercial building and facilities management responsibilities.

This position will partner closely with the existing office administrator and internal accounting team, serving as the primary on-site and vendor-facing point of contact for building operations, inspections, compliance, and maintenance. 

Key Responsibilities
Building & Facilities Management
Serve as the primary point of contact for vendors, contractors, inspectors, and service providers
Oversee fire marshal inspections, backflow testing, elevator inspections, HVAC maintenance, and other required compliance items
Proactively manage and track code requirements and commercial building regulations, particularly within Palm Beach County
Conduct regular property walks to identify maintenance issues, safety concerns, or potential code violations
Act as the building owner's representative during tenant renovations, ensuring permits are pulled, inspections are completed, and work aligns with approvals
Coordinate with contractors and general contractors (GCs) to verify work quality and compliance
Vendor & Tenant Coordination
Interface directly with tenants regarding lease-required maintenance obligations (e.g., HVAC servicing)
Monitor vendor performance and follow up on outstanding issues or corrective actions
Escalate findings and recommendations to management with clear options and solutions
Operational Support
Support ownership with problem-solving and decision support, especially around unexpected inspections or urgent building issues
Assist with oversight related to vacant land parcels owned by the firm, including coordination around inquiries, documentation, and internal review
Maintain organized documentation related to inspections, permits, maintenance schedules, and vendor communications


Required Experience & Qualifications
Prior experience in commercial property management, facilities management, or building operations
Strong working knowledge of commercial building codes, inspections, and compliance processes
Experience coordinating with fire departments, inspectors, contractors, and vendors
Comfortable being hands-on and on-site, including walking the property, navigating stairs, and inspecting physical spaces
Strong problem-solving skills with the ability to assess issues and present solutions
Professional communication skills and confidence working with a wide range of stakeholders
Preferred Background
Experience in commercial real estate (office buildings strongly preferred)
Background as a Property Administrator, Facilities Specialist, Building Manager, or Office Manager with facilities oversight
Familiarity with tenant improvement projects and contractor oversight

 

Pay Details: $75,000.00 to $85,000.00 per year
