Legal Billing Specialist

Overview
The Legal Billing Specialist is responsible for preparing, reviewing, and finalizing client invoices while ensuring compliance with firm billing guidelines and client requirements. This role requires hands-on experience with Elite 3E billing software and familiarity with law firm billing processes. The specialist will collaborate closely with attorneys, finance teams, and clients to ensure accurate, timely billing and support ongoing billing operations.
Key Responsibilities
Prepare, review, edit, and finalize pre-bills and invoices, including narrative edits, write‑offs, rate adjustments, and formatting corrections.
Submit invoices via Elite 3E and other e‑billing platforms; follow up on rejections, troubleshoot errors, and ensure timely resubmission.
Monitor unbilled time, accounts receivable, and ensure compliance with attorney instructions and client billing guidelines.
Maintain accurate documentation of billing arrangements, client instructions, timekeeper data, and rate structures.
Generate and distribute monthly invoices (paper, email, or e‑billed) according to client preferences.
Coordinate with attorneys, legal assistants, and collections teams to resolve billing inquiries, short‑pays, or discrepancies.
Assist with write-offs, transfers, appeals, accrual reporting, and special billing projects as needed.
Support e‑billing setup for new clients and assist with maintaining compliance with Outside Counsel Guidelines (OCGs), when relevant.
Qualifications
3+ years of legal billing experience in a law firm or professional services environment.
Experience with Elite 3E or similar legal accounting systems (Aderant, Juris, CMS).
Strong understanding of billing, collections, revenue cycles, and legal timekeeping.
Proficiency in Microsoft Excel.
Excellent attention to detail, accuracy, and confidentiality.
Strong communication, analytical, and problem‑solving skills.
Ability to manage multiple deadlines and work effectively with attorneys, clients, and administrative staff.

Pay Details: $80,000.00 to $115,000.00 per year
