Location: Montvale, NJ (Hybrid – work from home Mondays and Fridays)
Salary: Up to $65,000
We are partnering with a growing, fast-paced organization in the container and logistics space that is seeking a detail-oriented Operations Administrator to join their team. This role offers strong exposure to operational processes, cross-functional collaboration, and customer interaction in a dynamic environment. Candidates with container industry experience are highly preferred.
Key Responsibilities:
Maintain and organize files related to container certifications, including ABS, BV, ATO/DLO, and other required documentation
Receive new production equipment into the rental system based on daily inspection and acceptance reports
Upload and manage inspection reports, specifications, classification certificates, and all related work order documentation within internal systems
Review invoices for accuracy and process them for approval in a timely manner
Partner with factory representatives to resolve discrepancies and ensure accurate and timely data reconciliation
Monitor and update daily gate activity across factories and depots
Coordinate customer booking requirements and distribute booking and release notifications to the appropriate locations
Support logistics coordination for empty and one-way positioning bookings in partnership with internal teams
Maintain working knowledge of CARB registration requirements for generator sets and ensure data is updated in both internal and state systems
Respond to customer inquiries in a professional and timely manner, ensuring a high level of service
Prepare and distribute reports for management as needed
Qualifications:
Prior experience in operations, logistics, or administrative support within a fast-paced environment
Container or shipping industry experience is a strong plus
Strong attention to detail with the ability to manage high volumes of data and documentation
Excellent organizational and communication skills
Ability to collaborate cross-functionally and resolve issues efficiently
Proficiency in Microsoft Office and data entry systems
