Regulatory & Compliance Associate
Location: Brentwood, NY
Schedule: Full-time, Monday–Friday (8-hour workday)
Work Arrangement: 100% onsite
Salary: $70-75K annually
Position Overview
The Regulatory & Compliance Associate supports regulatory, quality, and customer documentation activities within the pharmaceutical and nutritional ingredients space. This role works closely with internal teams, customers, and domestic and international suppliers to ensure timely, accurate, and compliant regulatory submissions, documentation, and communications.
Key Responsibilities
Coordinate with internal teams and foreign suppliers to complete and maintain customer surveys, questionnaires, product specifications, certifications, and other requested regulatory documentation in a timely manner
Serve as a liaison between suppliers and customers to provide accurate regulatory, quality, and technical information
File, organize, and maintain Regulatory department databases and documentation
Assist with customer complaint handling in accordance with established internal SOPs
Support filing and ongoing maintenance of product and facility registrations with the US FDA, New York State, and other applicable states for pharmaceutical and nutritional ingredients
Review Certificates of Analysis (COAs) for compliance with approved specifications
Partner with the logistics team to provide product intended‑use letters and assist with resolving FDA‑related import issues
Support supplier and customer relationship management efforts as needed
Participate in new Quality and Regulatory initiatives or special projects as directed by senior management
Perform additional tasks or projects as assigned by the management team
Qualifications
Bachelor’s degree in a scientific, pharmaceutical, or quality‑related field
2–5 years of experience within the pharmaceutical and/or nutritional industries in a Laboratory, Quality Assurance, or Regulatory role
Experience with pharmaceutical or nutritional manufacturing and laboratory operations preferred
Direct experience with product and facility registrations, including NDC registrations, DMFs, COSs, and interactions with the US FDA and/or EDQM strongly preferred
Bilingual in English and Chinese is a plus
Highly detail‑oriented, conscientious, and organized
Strong team player with a willingness to learn and a continuous improvement mindset
Pay Details: $70,000.00 to $75,000.00 per year
