Position Summary
The Senior Billing Specialist is responsible for managing the full-cycle legal billing process for complex client accounts within a law firm environment. This role partners closely with attorneys, partners, and finance leadership to ensure accurate, timely, and compliant billing in accordance with client guidelines and firm policies. The position also serves as a subject matter expert on billing processes, mentoring junior staff and driving operational efficiencies.
Key Responsibilities
Manage the end-to-end billing process, including proforma generation, review, editing, and final invoice submission
Collaborate with attorneys and partners to ensure billing accuracy, timely approvals, and adherence to client-specific requirements
Interpret and apply Outside Counsel Guidelines (OCG) and complex billing arrangements to ensure compliance and minimize invoice rejections
Oversee electronic billing (e-billing/EDI) submissions, troubleshoot rejections, and manage appeals and resubmissions
Maintain and update matter details, billing rates, and timekeeper information within billing systems
Conduct detailed billing analysis, resolve discrepancies, and respond to billing inquiries from attorneys and clients
Monitor accounts receivable and aged balances, performing follow-ups on outstanding invoices as needed
Produce and analyze billing reports, including client-specific financial data and ad hoc reporting requests
Serve as a billing advisor to attorneys, providing guidance on billing best practices and client requirements
Identify and implement process improvements to enhance billing efficiency and accuracy
Assist with training, mentoring, and reviewing the work of junior billing staff
Support special projects, system implementations, and policy updates within the finance function
Qualifications
Bachelor’s degree in Accounting, Finance, or related field (preferred)
Minimum 3+ years of legal billing experience within a law firm environment
Strong knowledge of legal billing systems (e.g., Elite 3E, Aderant, or similar platforms)
Deep understanding of Outside Counsel Guidelines (OCG) and complex billing arrangements
Advanced proficiency in Microsoft Excel and reporting tools
Demonstrated ability to manage high-volume billing workflows with accuracy and efficiency

Pay Details: $85,000.00 to $120,000.00 per year
