We are seeking a reliable and well-organized Administrative Purchasing & Support Officer to coordinate procurement activities and assist with general administrative tasks. The successful candidate will support internal departments by ensuring timely purchasing, maintaining records, and facilitating day-to-day operations in a dynamic environment.

  • Follow internal purchasing procedures and maintain compliance at all times.
  • Where appropriate, obtain three quotes to ensure competitive pricing.
  • Process authorized purchase requests for materials, subscriptions, and equipment.
  • Keep colleagues informed about order status and expected delivery timelines.
  • Maintain accurate records of orders placed, items received, and pending deliveries.
  • Liaise with vendors to address grievances, delays, or service issues.
  • Flag and report any logistical concerns related to the delivery area.
  • Coordinate specific product orders such as textiles, refreshments, and staff room supplies.
  • Review and reconcile supplier account information when needed.
  • Ensure the staff administrative area remains tidy and functional.
  • Manage shared office resources such as the franking/postage machine.
  • Assist the finance team with routine administrative and data entry tasks.
  • Adhere to internal policies including data protection and records management.
  • Support team communication by sharing updates or changes to procedures.
  • Notify your line manager of absences and ensure appropriate task handovers.
  • Save all work-related documents in designated shared storage.
  • Escalate operational issues promptly when required.
  • Carry out ad hoc administrative or operational duties as assigned.

Your Profile:


  • Proven experience in procurement or administrative roles.
  • Strong communication and organizational skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Familiarity with vendor management and basic accounting processes is a plus.
  • Comfortable working independently and within a team.
