Our client, an Investment Bank, is looking for its future Administrative Assistant.
This job offer is a temporary contract for 1 year.

Responsabilities:
- Manage the secretariat of all internal HR procedures handled by the Division, including:
- Organising and maintaining the Administrative Review mailbox, following up on received emails, and assisting legal experts in sending appropriate replies.
- Updating and maintaining tables that track various procedures.
- Assisting legal experts with the preparation of legal documents related to internal HR procedures.
- Prepare documents, take photocopies, and handle various administrative requests in line with the Division's operational needs, adhering to EIB's procedures.
- Maintain proper records, documentation, and data quality, ensuring high levels of confidentiality (e.g., preparing and filing documents related to HR internal procedures manually and electronically, maintaining databases).
- Coordinate the reporting process for the Division by sending reminders and requests for data collection, following up on timely responses, and centralising replies to ensure completeness of information.
- Collaborate with other assistants in the Directorate, providing backup as needed.
Your Profile:
- Secondary level education, complemented with a 2-year certification in a relevant field.
- 3 years of relevant experience in an HR/legal administrative function, dealing with confidential and legal matters.
- Strong ability to maintain confidentiality is a must.
- Excellent knowledge of the Bank’s standard computer tools, particularly GED and MS Office (Word, Excel, PowerPoint).
- Proficient in both English and French. Knowledge of other EU languages is an advantage.
