LHH is seeking an Executive Assistant to join our growing firm for a full-time onsite position in Brentwood, TN. This position will have significant internal visibility and will focus on supporting the leadership team with scheduling, travel, and general office support.


The role will also include record keeping, limited financial bookkeeping, and other office management functions that require organizational capabilities. The ideal candidate will have prior administrative/executive assistant experience and be a true team player.


Reports to: Chief Executive Officer with dotted line to the two company founders.


Key responsibilities:



  • Manage heavy calendar scheduling – plan complex meetings and calls involving internal and external parties.


  • Records management – Assist with management of company files, as well as basic HR, legal and financial documents for the CEO and founders.


  • Financial record keeping - Provide limited support for the firm’s bookkeeping function in conjunction with the CFO.


  • Event planning – Organize occasional internal and external events, such as client entertainment, closing events, and office social functions.


  • Travel – Coordinate with executive team to book travel accommodations including flights, hotels, and transportation, as well as oversee basic tasks for the firms travel management system.


  • Expenses – Validate, review, and process junior team member expenses in online expense management system.


  • For executive team, provide white glove support in assembling, creating, and processing expense reports.


  • Support CEO and 2 Founders with ad hoc tasks as required, including placing/retrieving lunch orders, some personal tasks and other miscellaneous items.


  • Provide general office management support – inbound/outbound mailings, limited errands, office meal catering, procuring office supplies/snacks, greeting firm guests etc.


General Qualifications:



  • Positive and professional attitude, excellent customer service and interpersonal skills


  • Extremely organized, meticulous attention to detail is a must


  • Demonstrated experience handling confidential information with discretion is a must


  • Ability to work well under pressure and not get flustered


  • Experience supporting multiple executives and team members


  • Able to multitask, prioritize and respond quickly


  • Experience with expense management systems (Concur specifically) a strong plus


  • Highly Proficient in all aspects of Office365 (especially Excel,PowerPoint, and Outlook)


  • Good personality with a cooperative team spirit


  • Dedicated, loyal, and willing to go the extra mile


  • Proactive, ability to take the initiative


  • Effective communication skills are key


  • Relevant administrative assistant experience a plus


  • College degree a plus
