Job Summary:
LHH Recruitment Solutions is seeking an Executive Assistant who will be part of ensuring the seamless operation of an executive office. The role necessitates a strong emphasis on professionalism, discretion, and exceptional organizational abilities. The Executive Assistant will oversee sensitive information, coordinate executive schedules, and offer comprehensive support for diverse administrative duties.
Key Responsibilities:
Executive Support:
Provide comprehensive support to our executives, managing their schedules, coordinating meetings, and organizing travel arrangements.
Represent our executive team internally and externally with professionalism and refinement.
Communication Management:
Prioritize and handle incoming calls, emails, and correspondence meticulously and with acute attention to detail.
Expertly draft, revise, and thoroughly proofread documents and executive communications.
Calendar and Meeting Coordination:
Efficiently organize and manage executive calendars to ensure seamless scheduling of meetings and appointments.
Prepare meeting materials and ensure executives are fully briefed and ready.
Confidentiality:
Exercise utmost discretion and professionalism in handling sensitive and confidential information.
Maintain strict confidentiality regarding executive discussions and decisions.
Travel Arrangements:
Coordinate domestic and international travel plans, including itineraries, accommodations, and transportation, optimizing both efficiency and comfort.
Administrative Tasks:
Assist with general administrative tasks like filing, data entry, and office organization, contributing to the effectiveness of our executive team.
Monitor monthly expenses and prepare expense reports for executives and employees.
Professionalism and Etiquette:
Demonstrate professionalism and courtesy in interactions with colleagues, clients, and partners.
Uphold the highest standards of business conduct and etiquette, consistently reflecting our core values.
Qualifications:
Preferred Bachelor's degree in Business Administration or a relevant field.
Proven experience in an executive assistant role or similar position.
Outstanding professionalism, exceptional interpersonal skills, and strong communication abilities.
Proficient in Microsoft Office Suite and skilled in managing calendars effectively.
Exceptional organizational skills and adeptness in time management.
Unwavering discretion and integrity in handling sensitive information.
Strong commitment to precision and accuracy in all tasks.
Proficient in adapting to dynamic work environments and performing well under pressure.
Details:
Employment type: Direct hire
Compensation: $60,000 – $75,000
Work hours: 8:00 am – 5:00 pm, but must be flexible
