LHH is seeking a BILINGUAL ADMINISTRATIVE ASSISTANT (fluent in Japanese - read, write and speak) for a direct hire position in Houston, TX.


SUMMARY:

Executive support for the leadership of the Petroleum Chemical Solutions Group. The executive team consists of SVP’s & Department Managers. The party will be needed to handle secretarial, administrative, visitor arrangements, meeting room bookings, some catering with outside vendors and event/conference coordination. The addition of this staff position will enable these officers to perform their duties more efficiently.


DUTIES:


25% Administrative duties for Executives and CCDC Management:

  • Support the SVP and President, in all documents to be turned into accounting for travel reports and other documents in a timely manner.
  • Create SAP Concur reports of all expenses for SVP and monthly charges for President.
  • Coordinate Monthly reports for SVP. Gather and organize monthly reports from group companies in Petroleum and Chemicals Solution Group.
  • Support project-related matters.
  • Prepare and administer foreign Visa applications for SVP, President, and managers for overseas business trips

  • 25% Supporting Controlling and other departments:

  • Assist with travel or other expense concur reports, review and submit them for managers in SAP Concur.
  • Support and assist with Board of Directors Meeting.
  • Ensure hotel and limo reservations, ordering of office supplies, ordering gifts for customers, catering for meetings in the office and the Company House (Shataku) and make sure everything is set up correctly in advance, confirm internal meeting rooms, and any other needs for all managers in departments.
  • Responsible for all logistics/Hotel/Visa/COVID testing arrangement for visitors

  • 25% IT Coordinator duties:

  • Coordinate IT equipment for department. Order all IT equipment (iPhones, Laptops etc.) when advised.
  • Manage and keep track of CCDC’s electronic equipment at the office as well as any equipment that was purchased for work from home.
  • Work closely with Accounting Dept. to record Fixed Assets if any of this equipment value is over $1,000.
  • Update MC internal visitor information by close of business Friday on a weekly basis to GAD

  • 25% Administrative duties:

  • For American Fuel & Petrochemical Manufacturers Conference- Ensure all attendees are registered for the event, register hotel rooms, and meeting rooms all by the deadlines.
  • Ensure orders for food and beverage from the hotel are all ordered.
  • For other internal meetings and conferences- Ensure all arrangements for internal meetings in Houston, Latin American Petrochemical Conference, and European Petrochemical Association Conference affairs are all in order for attendees.
  • Keep all mailing lists and organization charts update whenever a charge in employment or title has occurred.

  • QUALIFICATIONS:

  • Bachelor’s degree REQUIRED
  • MUST BE fluent in Japanese – read, write & speak

  • SKILLS:

  • Proficient in MS Office Suite
  • MUST BE proficient in SAP
  • Strong organizational skills
  • Excellent communication skills

  • EXPERIENCE:

  • Minimum 2-3 years of Administrative Support experience

  • EMPLOYMENT TYPE: direct hire


    COMPENSATION: $50,000-55,000 annually DOE


    WORK HOURS: M-F, 9 AM-5 PM
