LHH is seeking a high-level Executive Assistant for a a key executive in the IT industry! The responsibility of this position is to assist with the day to day functions of running the department, and full administrative support. The ideal candidate will have 10+ years of professional experience as well as experience as an executive assistant in the past. Job Details
  • Type: Direct Hire
  • Location: Downtown Indy, Parking included!
  • Pay: $25-$30/HR - Yearly raises offered
  • Hours: M-F 8am-5pm
  • RESPONSIBILITIES:

  • Managing an active calendar of appointments: making sure meetings are scheduled, resolving schedule conflicts, working with other managers to schedule meetings, and blocking time for routine items.
  • Ensuring emails are assessed for priority, importance, and urgency to avoid missed expectations on inbound emails, preparing draft emails upon request and composing content for editing
  • Preparing for upcoming meeting needs and following through to successful completion, often with deadline pressures.
  • Working closely with team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Communicating directly and on behalf of the management and providing a bridge for smooth communication with internal staff. When needed, participating directly in meetings and following up with the relevant parties.
  • Maintaining a daily status report of tasks that need to be completed/monitored and following up when necessary to ensure the tasks are brought to completion.
  • Analyzing data such as budgets, system usage logs, time reporting, etc.
  • Making observations about new trends, abnormalities (possible errors in data sets), and working with owners to understand, correct, and refine in an effective and timely manner.
  • Organizing and preparing semi-annual Accomplishments presentation and coordinating meeting.
  • Assist management team developing management plan for future projects and ensure smooth operation of multiple projects at a time.
  • MINIMUM QUALIFICATIONS:
  • At least 10 years of professional working experience
  • At least 5 years of Administrative experience
  • Worked as an Executive Assistant in the past
  • Proficient in Excel & PowerPoint
  • Experience with Microsoft Teams is a HUGE plus!
  • Great communication & ability to respect corporate and personal information confidentiality
  • Maintain high standard performing all duties.
  • Professional appearance and manner that always represents well.
  • Able to communicate effectively through a broad range of written material
  • Manages use of time effectively and efficiently
  • Remains calm in difficult situations.
