We are seeking a proactive and highly organized Executive Assistant to support our client’s executives like the President, Director of Operations, and Director of Global Business Development and Marketing.

Job: Executive Assistant

Position Type: Direct Hire (Full-Time)
Schedule: Monday - Friday, 8 AM – 5 PM
Pay Rate: Up to $85K (DOE) with Benefits
Department: Executive Administration Support

Start Date: Late January 2025 or February 2025


Position Summary:

This role will be responsible for managing calendars, coordinating travel (including complex international arrangements), organizing meetings and events, and providing general administrative support to the executive team. The ideal candidate will possess excellent organizational skills, discretion, and the ability to handle multiple tasks in a fast-paced environment. The President's travel is often complex, and the candidate must be able to create and implement efficient processes to complete daily tasks related to these arrangements.


Key Responsibilities:

  • Anticipate challenges and proactively address them in relation to meetings, travel (domestic and international), and events.

  • Assist executives in making informed decisions by providing valuable recommendations.

  • Manage all aspects of complex business travel, including booking flights, hotels, transportation, and meals, as well as managing necessary documentation for international travel.

  • Process travel expenses through Concur in coordination with Accounts Payable.

  • Create and implement processes for efficient travel arrangements, especially for the President’s complex international trips.

  • Ensure smooth execution of executive schedules, keeping the team aligned on high-priority projects.

  • Act as a gatekeeper for executive time and maintain confidentiality.

  • Take notes during leadership meetings, distribute minutes, and ensure follow-up on action items.

  • Organize and maintain electronic documents and paper files for easy access.

  • Plan and coordinate office events, meetings, and team activities in collaboration with the HR and Culture committees.

  • Provide administrative support for routine correspondence, reports, and presentations.

  • Oversee logistics for meetings, including room reservations, catering, and technology setup.


Qualifications:

  • 5+ years of experience as an executive assistant for executive staff; ideally in a mid-sized company.

  • Strong organizational and prioritization skills.

  • Experience with complex international travel arrangements and the ability to create resources or systems for managing travel logistics.

  • Self-motivated and able to anticipate the needs of the team.

  • Ability to adapt to changing priorities and manage high-pressure situations with professionalism.

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel), with a willingness to learn additional software (OneNote is a plus).

  • Experience with the Entrepreneurial Operating System (EOS) is a plus.

  • Discretion in handling confidential information.

  • A positive, can-do attitude with a willingness to support the team in any capacity.
