LHH is seeking an OFFICE ADMINISTRATOR for a direct hire position in Houston, TX.


SUMMARY:

While working independently with a variety of administrative, accounting and construction related


responsibilities, Office Administrator will organize and coordinate office operations to ensure customer


satisfaction, a smooth?running office, and to support team in achieving goals.


DUTIES:

  • Answer all incoming calls and direct accordingly
  • General bookkeeping responsibilities include but not limited to:
  • ?Maintain Accounts Payable which includes generating PO’s, entering bills as per PO and ensuring bills are paid within payment terms
  • Maintain Accounts Receivable which includes ensuring payment schedules are followed and all invoices are issued to customer accurately and timely
  • Send out statements of past due accounts as well as submit documentation to file liens and bond claims when needed
  • Maintain general accounting files including master vendor and subcontractor files
  • General construction responsibilities include but not limited to:
  • Ensure projects are coded correctly and to the proper salesperson for commissions
  • Ensure accounting for each project is correct and following schedule
  • Maintain Certificates of Insurance from vendors and contractors
  • Track and process change orders
  • Under direction of Construction Dept, coordinate scheduling of vendors, equipment rentals or anything else needed for job site
  • Assist in updating installation log and timeline calendars as needed
  • Maintain and file project files
  • Maintain office supplies, equipment and facilities
  • General administrative duties including preparing letters, proposals and reports as requested as well as printing, scanning, copying, mail distribution, managing electronic files and folders

  • QUALIFICATIONS:

  • High school diploma
  • High level of accuracy and attention to detail while working on multiple projects simultaneously.

  • SKILLS:

  • Solid understanding of bookkeeping procedures and working knowledge of QuickBooks
  • Advanced computer skills, specifically Microsoft Office products, Excel, Word and PowerPoint
  • Excellent organizational skills and problem?solving skills
  • Strong verbal and written communication skills with ability to collaborate with others including being able to interact will all levels in corporate environment

  • EXPERIENCE:

  • Minimum 3+ years relevant work experience in construction or related field
  • Minimum 2-4 years of office administration experience
  • Construction industry is strongly preferred
  • Understanding of Architect, Construction or Related Manufactured Product Industry

  • EMPLOYMENT TYPE: direct hire


    COMPENSATION: $20-21/hr DOE


    WORK HOURS: M-F, 8 am-5 pm
