Executive Assistant

Are you a seasoned Executive Assistant? LHH is seeking an Executive Assistant for our client that is in Walnut Creek, CA. The ideal candidate will be supporting the CEO in a variety of EA duties. This is a hybrid, temp-to-hire role with possibility for direct hire!

Responsibilities:

  • Provide seamless scheduling support for CEO
  • Schedule and coordinate all domestic and international travel arrangements and accommodations.
  • Expense management for the leadership executives including inputting, reviewing, and submitting all reports for accuracy and payment.
  • Plan, coordinate and execute a variety of internal and external facing meetings and off sites which may include cross functional teams and vendors.
  • Review, code & route invoices to appropriate leaders for approval and payment.
  • Prepare meeting materials ahead of time when applicable.
  • Assist external recruiting partners in scheduling candidate interview loops with executives.
  • Help with onboarding new hires; submit requests for systems access & equipment deployment.
  • Provide special project support to the leadership team as requested.
  • Manage DocuSign agreements for the leadership team & manage internal user accounts.
  • Handle highly confidential and/or sensitive information with discretion and tact.
  • Qualifications:

  • Minimum 5 years in administrative support
  • Minimum 2 years Customer Service Rep and Retail Customer Service Associate
  • Strong interpersonal skills
  • Superior attention to detail
  • Excellent professionalism in written and verbal communication
  • Proficiently Multitask
  • Proficient use of MS Office Microsoft Office, Google Suite, Sales Force, ZenDesk, Slack, Ship Station, ADP, WorkForce, and Dentrix
