Operations and Administrative Assistant
LHH is in search of a detail-oriented and proactive Operations and Administrative Support Associate to join our team. This role involves delivering both administrative and operational assistance across various departments to ensure effective operations and outstanding client service. For the first 3 to 4 months, the focus will be on administrative tasks related to a major file conversion initiative, setting the stage for a seamless transition into the Operations Associate position.
Key Responsibilities:
- Transition legacy file systems to new file formats.
- Systematically organize and assign new documents to the appropriate client accounts.
- Develop labels, structure files, and maintain spreadsheets.
- Provide comprehensive administrative and operational support to our client service teams.
- Liaise with different departments at the firm’s clearing house and collaborate with operations teams to resolve issues.
- Work closely with Account Executives and senior management.
- Gain expertise in various firm processes and serve as a knowledgeable resource.
- Execute additional tasks as needed.
Qualifications:
- High school diploma or equivalent; further education or relevant certification is advantageous.
- Minimum of 1 year of experience in a brokerage or financial services setting.
- Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
- Highly organized and self-motivated with the capability to prioritize and work autonomously.
- Meticulous attention to detail with the ability to handle multiple responsibilities concurrently.
- Professional, courteous, and capable of functioning effectively within a team environment.
- Excellent communication skills and adept at maintaining professional client interactions.
