Service Coordinator

$26.00 - $28.00 per Hour
- Draft reports, memos, letters, and other documents using word processing, spreadsheets, databases, or presentation software.
- Review, interpret, and analyze Field Service Reports.
- Oversee and manage service schedules.
- Engage with both internal teams and external clients.
- Schedule service calls by collecting customer information, logging it into the Viewpoint system, and following up to monitor call status.
- Assist in the subcontractor pre-approval process.
- Answer phone calls, directing them to the appropriate individuals or taking messages as needed.
- Handle general office tasks, such as ordering supplies and maintaining records in database systems.
- Open, sort, and distribute incoming correspondence, including faxes and emails.
- Arrange travel for technicians when necessary.
- Prepare agendas and coordinate details, such as catering, for meetings including committee and board gatherings.
- Provide administrative support to service technicians.
- Coordinate and manage office services.
- Supply information for managerial reports, financial statements, strategic planning, and decision-making.
- Perform basic bookkeeping tasks, including setting up new customers and vendors and processing timesheets.
- Create schedules based on service requests and work orders from colleagues.
- Assist fellow Service Coordinators with their tasks during their absence.
- Support the accounting team and act as a backup for the Accounting Assistant when possible.
- Postsecondary education is preferred.
- 3-5 years of related work experience, particularly in dispatching.
- Experience in the mechanical service or HVAC industry is preferred.
- Familiarity with service management or accounting systems is an advantage.
- Employment type: Direct Hire
- Compensation: $26-28/hr
- Work hours: 8:00 am – 5:00 pm
