The Payroll Specialist is responsible for the accurate and timely processing of payroll for union and non-union employees across multiple states. This role requires strong attention to detail, a deep understanding of payroll compliance, and hands-on experience with ADP systems. The ideal candidate will be comfortable working in a fast-paced environment and collaborating with HR, Finance, and union representatives to ensure payroll accuracy and compliance. This is a Contract position located near Woodridge, IL.
Key Responsibilities:
- Process biweekly and semi-monthly payroll for a multi-state workforce, including union and non-union employees, using ADP Workforce Now or similar platforms
- Ensure compliance with collective bargaining agreements by applying correct union wage rates, dues deductions, and certified payroll reporting requirements .
- Manage onboarding and offboarding payroll tasks such as setting up new hires, processing terminations, and handling final paychecks in accordance with union rules
- Audit and reconcile payroll data including timesheets, bonuses, garnishments, and retroactive adjustments to ensure accuracy and compliance
- Maintain and update employee records in the ADP system, including tax information, direct deposit details, and benefit deductions
- Collaborate with union representatives and HR to resolve payroll discrepancies and ensure proper documentation of union-related payroll actions
- Prepare and submit payroll reports for internal stakeholders and external audits, including certified payroll reports for government contracts
- Stay current on federal, state, and local payroll regulations, especially those affecting unionized environments.
Qualifications:
- 3–5+ years of payroll experience, including union payroll processing.
- Proficiency in ADP Workforce Now, SmartCompliance, or similar payroll systems
- Strong knowledge of payroll laws, wage and hour regulations, and union contract compliance.
- Excellent Excel skills (e.g., pivot tables, VLOOKUPs) and attention to detail
- Ability to manage multiple priorities and meet tight deadlines in a high-volume environment.
