For our client, a well-known multinational company based in Zurich, we are looking for a dynamic and flexible personality to support the Vice President HR of the company as an Executive Assistant to the Vice President (m/w/d) 100%
Your Responsibilities as Executive Assistant to the Vice President (m/w/d) 100%
- Provide executive administrative support to the chairman of the board and other members of the Executive Team as required
- Interface frequently with important internal and external stakeholders of the organization
- Manage administrative arrangements for board meetings including board committees
- Liaise with other assistants of board members and executive committee
- Manage diary
- Coordinate travel and accommodation arrangements
- Prepare documents and correspondence as required
- Answer telephone, screen callers, relay messages and greet visitors
- Process expense claims/reconciliations and invoices
- Responsive to the assistant to the board members
Your Qualification and Skills
- At least 5 years of secretarial experience with at least 3 at senior level
- Overall computer literacy and good knowledge of Microsoft Office
- Ability to work under pressure to meet deadlines, while maintaining quality
- Strong attention to detail
- Although part-time the Executive Assistant will be required to work flexible to suit business needs
- Experience in working with highly confidential information
- Ability to anticipate issues and needs associated with diaries, travel and meeting information requirements
- Ability to work in a multi-cultural team and cooperation with variety of people across different functions to achieve results
- Effectively work with other personal assistants to support the administrative needs of members of the senior executives' teams
- Ability to take ownership of tasks and follow them through to completion
- Good organization skills and ability to run multi-tasks in parallel and to prioritize own work Effective communication with multiple levels in the business
- Fluent in German and English are a must have
