Position Title: Assistant Accounting Manager

Overview:

We are seeking a dedicated and detail-oriented Assistant Accounting Manager to join our team. This role is pivotal in supporting the Accounting Manager with the daily operations of the accounting department. The ideal candidate will assist in financial reporting, maintain accurate records, and supervise accounting staff, ensuring compliance with company policies and regulatory requirements.

Key Responsibilities:

  • Financial Reporting: Aid in the preparation and presentation of financial statements and reports, ensuring accuracy and timeliness.
  • Record Keeping: Maintain comprehensive and up-to-date financial records, including general ledger entries and account reconciliations.
  • Team Supervision: Oversee and mentor junior accounting staff, including those handling accounts payable and receivable.
  • Internal Controls: Contribute to the development and implementation of internal controls to safeguard financial data integrity.
  • Budgeting and Forecasting: Assist in the budgeting and forecasting processes by providing relevant financial data and analysis.
  • Regulatory Compliance: Ensure adherence to accounting principles, regulations, and company policies. Assist in preparing for external audits.
  • Process Improvement: Identify and implement process improvements to enhance efficiency and accuracy.

Qualifications:

  • Education: Bachelor's degree in Accounting, Finance, or a related field. A master’s degree or CPA certification is a plus.
  • Experience: Proven experience in accounting, with a background in financial reporting and supervisory roles. Experience in the architectural/engineering or construction fields is preferred.
  • Skills: Strong analytical and problem-solving skills, excellent communication and leadership abilities, and proficiency in accounting software and financial management systems.

Additional Responsibilities:

  • Month-End Close: Support the month-end closing process, including account reconciliations and adjustments.
  • Payroll Assistance: Aid in payroll processing and related transactions.
  • Accounts Payable and Receivable: Oversee the accounts payable and receivable functions, ensuring timely processing and collections.
  • Special Projects: Participate in special financial projects, such as system implementations or process improvements.

Typical Tasks and Duties:

  • Accounts Receivable: Prepare monthly invoices for specific clients, review commercial and remote offices monthly invoicing, and manage accounts receivable follow-up.
  • Proposal Support: Serve as a backup to the Contract Specialist when needed.
  • Project/Contract Management: Create new billing rate schedules for corporate, government, and other clients as requested.
  • Accounts Payable: Review transactions for accounts payable vouchers, manage the general ledger account, authorize payment of invoices, and prepare annual 1099 forms.
  • Purchase Orders: Approve purchase orders for computer support, large purchases, and subconsultants.
  • Payroll: Assist in the management and preparation of quarterly reports, including Form 941, unemployment reports, annual W-2s, and Federal Unemployment Tax (FUTA). Run payroll as needed and assist in non-typical payments.
  • General Ledger: Support monthly financial statements and account for depreciation on new acquisitions.
  • Cash Management: Reconcile corporate bank accounts and ensure bank requirements are met.
  • Board Meeting Preparation: Prepare financial statements, income by business unit, and review contract backlog.
  • Year-End Preparation: Prepare year-end schedules for review by the corporate CPA and year-end projections.
  • Insurance: Complete applications for various liability insurances and support audits.
  • Other: Prepare/review annual fees by client, fees by state, payroll by state, and prepare annual overhead rate.

Key Attributes for Success:

  • Industry Experience: Familiarity with the architectural/engineering industry.
  • Federal Contracting Knowledge: Understanding of federal contracting requirements and accounting systems.
  • Leadership and Supervision: Ability to supervise and guide junior staff effectively.
  • Process Improvement: Proactive in identifying and implementing process improvements.
  • Adaptability: Ability to manage multiple tasks and adapt to changing priorities.

Compensation and Benefits:

  • Salary Range: $90k - $120k annually, depending on experience and qualifications.
  • Bonus Eligibility: Profit-sharing based on company performance.
  • Benefits: Comprehensive benefits package including health insurance, retirement plans, and paid time off.
