LHH Recruitment Solutions is seeking a dedicated Unit Administrative Assistant (Unit Secretary) for a confidential client in Antioch, CA. This role is crucial for ensuring smooth staffing and scheduling in a healthcare setting. If you are organized, communicate well, and have experience in staffing or timekeeping, this could be the perfect job for you.
Key Responsibilities:
Coordinate daily and long-term staffing needs, ensuring compliance with staff availability, skill levels, and regulatory guidelines.
Evaluate patient needs and unit resources to determine appropriate staff placement.
Maintain accurate timekeeping records and function as a Kronos Timekeeper.
Manage databases, enter and audit data, and prepare routine and ad-hoc reports.
Screen and manage calls, messages, mail, and email communications, providing accurate information and referrals.
Schedule patient appointments within the electronic health record (EHR) system.
Maintain a clean and safe working environment, ensure compliance with privacy regulations, and complete mandated continuing education requirements.
Preferred Experience:
At least 1 year in a Unit Secretary or similar role with exposure to staffing and timekeeping practices.
High School Diploma or equivalent education/experience.
Skills and Knowledge:
Proficient in interpreting written word, metrics, charts, and other documents used in staffing systems.
Ability to work with diverse personalities and negotiate staffing needs effectively.
Capable of making independent decisions regarding staffing and payroll challenges.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Knowledge of Microsoft Office suite (Word, Excel, Outlook), Epic, and related information systems.
Ability to identify, evaluate, and resolve standard problems using established solutions.
Build collaborative relationships with peers and other staff members to achieve departmental objectives.
