Office Coordinator

We are currently seeking a highly organized and proactive Office Coordinator to ensure the smooth and efficient operation of our client’s office environment. This individual will be versatile and resourceful, managing a wide range of administrative tasks and providing excellent support to our team. Strong communication skills, attention to detail, and the ability to handle multiple priorities in a fast-paced setting are essential. This is a Contract to Hire opportunity located near Aurora, IL.

Responsibilities:
  • Oversee day-to-day office operations, ensuring a clean, organized, and well-maintained work environment.
  • Provide comprehensive administrative support, including answering phones, managing correspondence, scheduling meetings, and preparing documents.
  • Manage office supplies and equipment, ensuring adequate stock levels and coordinating maintenance or repairs as needed.
  • Arrange and coordinate meetings, conferences, and office events, including scheduling, catering, and logistical support.
  • Greet and assist visitors, ensuring a professional and welcoming reception area.
  • Draft and distribute internal and external communications, including emails, memos, and reports.
  • Maintain accurate records and files, ensuring data integrity and confidentiality.
  • Liaise with vendors for office services, including cleaning, maintenance, and supply orders.
  • Arrange travel accommodations and itineraries for staff as needed.
  • Assist with special projects and initiatives, providing administrative support and coordination.

Qualifications:
  • Proven experience as an Office Coordinator, Administrative Assistant, or in a similar administrative role.
  • Excellent organizational and time-management skills, with the ability to prioritize and multitask effectively.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Problem-solving and decision-making skills.
  • Ability to handle sensitive and confidential information with discretion.

Job Details:
  • Contract to Hire
  • Monday-Friday, onsite
  • Pay is $22-$27 an hour, depending on experience
