LHH has partnered with a dynamic and growing client in the Nashville, TN area to help find talented Executive Assistant to join their team on a temporary basis. This role requires discretion, a proactive approach, and exceptional organizational skills to ensure smooth daily operations for the executive and their office.
Responsibilities:
Maintain and manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prioritize and organize competing requests, ensuring time efficiency and adherence to the executive’s strategic priorities.
Draft, review, and manage correspondence, including emails, letters, and reports on behalf of the executive.
Prepare agendas, presentations, and briefing materials for meetings.
Organize and coordinate meetings, conferences, and events, both on-site and off-site.
Take minutes during meetings, ensuring follow-up actions are tracked and completed.
Arrange complex travel itineraries, including flights, hotels, ground transportation, and visa requirements.
Assist with managing and organizing office operations, including supplies, equipment, and other logistics.
Oversee special projects and handle ad-hoc requests to support the executive's objectives.
Prepare and manage expense reports for the executive, ensuring timely submissions and adherence to budget guidelines.
Track and reconcile receipts, invoices, and financial documents.
Anticipate the executive’s needs and proactively manage issues before they arise
Qualifications:
Bachelor’s degree in Business Administration, Communications, or related field (preferred).
Proven experience (3+ years) as an Executive Assistant, Personal Assistant, or similar role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
Excellent written and verbal communication skills.
Strong ability to multitask, prioritize, and meet deadlines.
Schedule:
Full-time, 40 hours
Monday to Friday
8:00am-5:00pm
