LHH has partnered with a dynamic and growing client in the Nashville, TN area to help find talented Executive Assistant to join their team on a temporary basis. This role requires discretion, a proactive approach, and exceptional organizational skills to ensure smooth daily operations for the executive and their office.

Responsibilities:

  • Maintain and manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

  • Prioritize and organize competing requests, ensuring time efficiency and adherence to the executive’s strategic priorities.

  • Draft, review, and manage correspondence, including emails, letters, and reports on behalf of the executive.

  • Prepare agendas, presentations, and briefing materials for meetings.

  • Organize and coordinate meetings, conferences, and events, both on-site and off-site.

  • Take minutes during meetings, ensuring follow-up actions are tracked and completed.

  • Arrange complex travel itineraries, including flights, hotels, ground transportation, and visa requirements.

  • Assist with managing and organizing office operations, including supplies, equipment, and other logistics.

  • Oversee special projects and handle ad-hoc requests to support the executive's objectives.

  • Prepare and manage expense reports for the executive, ensuring timely submissions and adherence to budget guidelines.

  • Track and reconcile receipts, invoices, and financial documents.

  • Anticipate the executive’s needs and proactively manage issues before they arise

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or related field (preferred).

  • Proven experience (3+ years) as an Executive Assistant, Personal Assistant, or similar role.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.

  • Excellent written and verbal communication skills.

  • Strong ability to multitask, prioritize, and meet deadlines.

Schedule:

  • Full-time, 40 hours

  • Monday to Friday

  • 8:00am-5:00pm

Pay Details: $28.00 to $35.00 per hour
