We’re seeking a detail-oriented Legal Billing Coordinator to manage the full billing cycle for assigned attorneys. You’ll generate and finalize invoices, ensure compliance with client guidelines, and provide excellent service to internal and external stakeholders. Responsibilities include processing proformas, customizing invoice formats, resolving billing issues, and supporting e-billing functions. Strong communication, organization, and problem-solving skills are essential. Experience with legal billing systems and e-billing platforms is a plus.
Deliver timely and accurate proformas and final invoices for assigned attorneys.
Provide excellent customer service and maintain clear communication with attorneys, clients, and internal teams.
Customize invoice formats in collaboration with attorneys and clients.
Review and audit proformas for compliance with client guidelines and internal policies.
Perform advanced edits such as dividing/combining entries, applying discounts, transferring entries to nonbillable matters, and adjusting unbilled time and costs.
Maintain vigilance over billing workflows, validate invoice totals against system data, and ensure timely month-end close through audit reporting and WIP follow-up.
Manage e-billing processes including invoice uploads, handling rejections and disputes, maintaining timekeeper validations, and collaborating with third-party platforms and the E-Billing Manager.
Ensure billing instructions, templates, and client data are up to date.
Collaborate with the Billing Supervisor and team members to resolve issues and improve processes.
Monitor billing workflow and deadlines to ensure month-end close targets are met.
Qualifications:
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (or equivalent work experience).
3+ years of legal billing experience, preferably in a large law firm or professional services environment.
Strong understanding of legal billing processes, including proformas, invoice finalization, and client billing guidelines.
Advanced Excel skills and comfort working with billing reports and data audits.
Excellent written and verbal communication skills for working with attorneys, clients, and internal teams.
