Customer Service & Support
The Administrative Assistant will provide administrative support to ensure efficient operation of the office. This role involves managing various office tasks, handling communications, performing data entry, and generating invoices. The ideal candidate is detail-oriented, highly organized, and capable of multitasking in a fast-paced environment. This is a Contract to Hire Opportunity located in Cicero, IL.
Responsibilities:
- Perform general administrative duties including answering phones, managing emails, and greeting visitors.
- Schedule and coordinate meetings, appointments, and travel arrangements for team members.
- Maintain office supplies inventory and order new supplies as needed.
- Accurately enter data into databases and maintain records.
- Update and maintain office policies and procedures documents.
- Ensure data integrity and confidentiality at all times.
- Prepare, review, and distribute invoices to clients and customers.
- Track and manage accounts receivable and ensure timely payments.
- Collaborate with the finance department to resolve any billing discrepancies.
- Organize and file important documents and correspondence.
- Assist in the preparation of regularly scheduled reports.
- Maintain a filing system for easy retrieval of documents.
- Serve as the point of contact for internal and external communications.
- Draft, proofread, and edit emails, letters, and other documents.
- Communicate effectively with clients, vendors, and team members.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Manage relationships with vendors, service providers, and landlords, ensuring that all items are invoiced and paid on time.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as an administrative assistant or in a relevant administrative role.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Knowledge of office management systems and procedures.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multitask.
- Excellent written and verbal communication skills.
- Experience with data entry and invoice generation.

- Monday-Friday, onsite
- Pay is $18-$20 an hour, depending on experience
