Job Title: Refund Support Administrative Assistant
Location: Onsite – Federal Way, WA
Schedule: Monday – Friday, Full-Time
Contract Duration: 6-month contract with the possibility of extension and/or conversion
Job Summary:
We are seeking a detail-oriented and proactive Refund Support Administrative Assistant to support critical refund and mailing processes for our organization. This position plays a key role in maintaining timely and accurate documentation, ensuring compliance, and assisting with high-priority administrative tasks.
Skills & Qualifications:
High School Diploma or equivalent (Required)
Intermediate proficiency in Microsoft Office, particularly Excel and Outlook
Strong organizational skills with the ability to manage multiple priorities and meet service level agreements
Excellent written and verbal communication skills
Previous experience in an office assistant or medical administrative support role (Required)
Understanding and adherence to company policies, HIPAA regulations, and applicable laws is essential
Key Responsibilities:
Collate backup documents for refund checks, prepare envelopes, and ensure all outgoing mail is sent daily
Print and mail outgoing correspondence, including certified return receipt compliance refunds
Update and maintain Excel spreadsheets with daily batch deliveries to Imaging
Process and distribute incoming physical and virtual mail and faxes
Monitor shared email inbox (Tacoma Refunds) and respond promptly to refund-related inquiries
Submit IT tickets and communicate proactively with leadership when technical issues arise
Review CAT refund packets for proper approval and signature authority
Run daily refund files for Accounts Payable (CAT) and process CAT program loads twice daily
Re-mail returned refund checks as appropriate
Maintain confidentiality of patient and company information in accordance with HIPAA and company policies
Ensure consistent and punctual attendance as scheduled
Participate in team settings and support collaborative efforts
