Job Posting: Part-Time Administrative Assistant (Temporary Contract)
Location: Fremont, CA
Schedule: Monday - Friday, 9:00 AM - 1:00 PM
Pay Range: $27 - $30 per hour
Contract Duration: 3-6 months
Overview:
We are seeking a detail-oriented and professional Part-Time Administrative Assistant to join our team on a temporary basis. This role reports directly to the Community Manager and will assist in administrative tasks to support filling current vacancies. The ideal candidate will have experience in administrative duties, knowledge of Tax Credit and Section 8 programs, and excellent communication skills.
Key Responsibilities:
Applicant Process Support:
Contact applicants and schedule interviews.
Process applicant files and request verifications from third-party agencies.
Prepare approved files for resident move-ins.
Front Desk & Visitor Management:
Greet and screen all visitors and guests.
Maintain and update visitor logs, daily logs, and other front desk forms.
Answer incoming phone calls, route messages, and respond to inquiries.
Administrative Duties:
File documents, prepare correspondence, and sort/distribute mail.
Post and distribute tenant notices.
Assist in new resident application processes.
Resident Relations:
Respond to resident complaints and assist in resolving disputes with support from the Community Manager.
Receive and log resident work orders, follow up to ensure satisfaction, and maintain detailed records.
Building & Security Management:
Maintain the orderly appearance of the lobby and adjoining areas.
Monitor the video camera system and ensure building security.
Enforce community policies and house rules.
Assist in emergencies (flood, fire, or other incidents) by notifying emergency or management personnel.
Additional Duties:
Attend in-house and offsite training or company events as required.
Perform other tasks as assigned by the Community Manager.
Requirements:
Preferred Knowledge: Experience with Tax Credit and Section 8 programs.
Strong organizational and multitasking skills.
Proficient in Microsoft Office and administrative tools.
Excellent verbal and written communication skills.
Ability to handle confidential information with discretion.
Punctual, reliable, and professional demeanor.
Pay Details: $27.00 to $30.00 per hour
