Job Title: Executive Assistant
Location: Houston area, Texas
Job Type: Contract
Schedule: Monday - Friday, 8 AM – 5 PM
Pay Rate: $28.00 - $38.00/hr (DOE)
As an Executive Assistant, you will play a critical role in supporting the executive team by managing administrative tasks, coordinating schedules, and providing consultative support. The ideal candidate will have exceptional organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
- Administrative Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and preparing correspondence.
- Consultative Support: Assist executives with strategic planning, project management, and decision-making processes by providing research, analysis, and recommendations.
- Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Travel Arrangements: Manage travel arrangements for executives, including booking flights, accommodations, and transportation.
- Communication Management: Handle incoming and outgoing communications on behalf of executives, including emails, phone calls, and mail.
- Document Preparation: Prepare and edit documents, presentations, and reports for executive meetings and presentations.
- Event Planning: Assist in planning and coordinating company events, conferences, and executive off-sites.
- Confidentiality: Maintain the highest level of confidentiality and professionalism in handling sensitive information.
- Office Management: Oversee office operations and ensure a well-organized and efficient work environment.
- Special Projects: Support various special projects and initiatives as needed, contributing to the overall success of the executive team.
- Education: Bachelor’s degree in Business Administration, Communications, or a related field.
- Experience: 4-6 years of experience as an executive assistant or in a similar administrative role.
- Interpersonal Skills: Strong interpersonal and communication skills to interact effectively with executives, clients, and team members.
- Organizational Skills: Excellent organizational and multitasking abilities with the capability to manage competing priorities.
- Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
- Attention to Detail: Strong attention to detail in document preparation, scheduling, and administrative tasks.
- Problem-Solving: Ability to quickly resolve administrative issues and provide effective solutions.
- Time Management: Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
- Confidentiality: Maintain the highest level of confidentiality and professionalism in handling sensitive information.
- Competitive hourly rate based on experience ($28.00 - $38.00 per hour).
