LHH is seeking a skilled Administrative Assistant for a temporary role with a company within the financial service industry. This role will provide crucial support to our financial advisors and office staff by handling administrative tasks, managing client communications, and ensuring the smooth operation of day-to-day activities. The ideal candidate will possess strong communication skills, a proactive attitude, and a passion for providing excellent service to our clients.

Responsibilities

  • Provide administrative support to financial advisors and office staff, including managing calendars, scheduling appointments, and coordinating meetings.

  • Prepare and organize documents, reports, and presentations for client meetings and presentations.

  • Assist with client communications, including answering phone calls, responding to emails, and addressing inquiries or concerns in a professional manner.

  • Manage client files and records, ensuring accuracy and confidentiality in handling sensitive information.

  • Process paperwork and documentation related to client accounts, transactions, and compliance requirements.

  • Assist with client onboarding and account maintenance tasks, including data entry and account updates.

  • Coordinate with internal departments and external partners to facilitate client service requests and resolve issues.

  • Maintain office supplies and equipment, and coordinate office maintenance and repairs as needed.

  • Assist with special projects and other administrative tasks as assigned.

Requirements

  • High school diploma or equivalent; associate's or bachelor's degree preferred.

  • At least 2 years of previous experience in an administrative role, preferably in a financial services or professional services environment.

  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.

  • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and other office software.

  • Attention to detail and accuracy in data entry and record-keeping.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proactive problem-solving skills and the ability to work independently as well as part of a team.

Assignment Length

  • 4-6 months with potential for permanent hire
