Pay Range: $70,000-75,000 annually DOE
Work Schedule: M-F, 8-5
SUMMARY:
As an Executive Assistant, your mission will be to provide administrative support to the company’s President, Director of Operations, and Director of Global Business Development and Marketing. You will work in partnership with the President to provide support across a variety of areas including scheduling and calendar support, travel planning (domestic & international), meeting preparation, event planning & preparation, office management, note-taking, and meeting summaries, as well as offering general administrative support for our executive team. The position reports directly to the President and may also require support from time to time with managing personal matters during times of travel and high workload periods.
DUTIES:
Anticipate challenges and proactively address them, especially in regard to meetings, travel and company events.
Provide input and recommendations to help executives make informed decisions.
· Oversee and manage all business travel itineraries, book flights, hotels, transportation, meetings, meals, required documentation.
· Handle travel expenses in Concur in coordination with the Accounts Payable Coordinator.
Ensure weekly schedules are organized and run smoothly for the executive team so they are in lock step on high priority projects.
Act as a gatekeeper, manage access to executive’s time and ensure confidentiality.
Handle sensitive information with discretion.
Maintain professional interactions with all staff
Help the Executive Team to be properly prepared, organized and on time for all meetings. Assist with the scheduling of meetings across multiple stakeholders and ensure meetings are prioritized appropriately
Maintain awareness of schedules, meetings, or appointments for executives. Meetings may be in person, virtual, or via phone call.
Coordinate communication between all parties involved in meetings or appointments and ensure optimal time management.
Support leadership meetings by taking notes and distributing minutes and action items as needed.
Review minutes, notes and actions items with executives and schedule follow-up conversation to ensure effective results
Provide administrative support by organizing electronic documents and scanning paper documents to maintain an organizational system providing easy access to files.
Create and implement processes and systems that keep the leadership team running like a well-oiled machine.
Plan office events, parties, and team meetings with our Culture Committee and HR Team
Support the preparation of routine correspondence, reports, and presentations.
Coordinate logistics for meetings, including room reservations and technology setup.
Oversee catering, beverages, meals, etc. for meetings inside headquarters
Assist with room preparation and cleanup.
External event coordinator for customer and supplier events
Manage certain office-related purchasing and vendors
Assist with projects, research, and events (customers, sales meetings, Vistage, sales events, etc.)
Handle subscription services as required (Modern Tire, Tire Business, Houston Biz Journal, etc.)
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
QUALIFICATIONS:
· High School Diploma or equivalent
· Highly organized and detail oriented.
· Willing to support any need of the team, no matter how big or small.
· Ability to keep company and personal information confidential.
· Ability to manage complex, high-pressure situations with decorum and diplomacy
SKILLS:
· Must be proficient in Microsoft Office (Outlook, Word and Excel required), Ability and willingness to learn various other programs (OneNote is a Plus).
· Experience working with EOS (Entrepreneurial Operating System) is a major plus!
EXPERIENCE:
· 5+ Years in a similar role supporting executives for a mid-size company
