Job Title: Litigation Legal Secretary
Location: La Jolla, Ca
Schedule: In office Monday Friday, 8 hour workday
Salary Range: $80,000 - $92,000 , non- exempt
Job Description:
LHH is seeking a highly skilled Litigation Legal Secretary to join our client's esteemed law firm. The ideal candidate will be responsible for providing comprehensive administrative support to attorneys, ensuring the smooth operation of legal proceedings and office functions.
Key Responsibilities:
Draft and revise legal documents, correspondence, memoranda, and emails from written drafts and transcriptions.
Compile and organize documents and exhibits for court filings, hearings, arbitrations, mediations, depositions, and other legal proceedings.
Proofread documents to ensure accuracy and adherence to firm standards.
Manage incoming mail and emails, sorting and distributing them appropriately.
Schedule appointments and meetings for attorneys, maintaining and updating their calendars.
Track and record important deadlines on the master calendar.
Maintain and organize client files and chronological files.
Utilize computer and transcription equipment to produce legal documents and correspondence.
Operate office equipment such as photocopiers, fax machines, and postage meters.
Arrange travel accommodations for attorneys, including hotel, airline, and transportation bookings.
Assist in the preparation of marketing materials, including pitch folders, attorney biographies, and PowerPoint presentations.
Perform other duties as assigned.
Qualifications/Requirements:
High School Diploma required.
Previous experience as a litigation legal secretary is essential.
Proficiency in typing, reading, and writing to proofread and revise legal documents and correspondence.
Strong knowledge of MS Office Suite (Word, Excel, PowerPoint).
Familiarity with document management systems such as iManage.
Ability to type at a speed of 70 words per minute.
Excellent organizational skills to manage workflow for multiple attorneys.
Strong interpersonal skills to communicate professionally with clients, attorneys, vendors, and staff.
Competence in operating office equipment, including computers, transcription devices, fax machines, and advanced photocopiers.
