Office Administrator
Location: Lake Forest, CA (Fully Onsite, 8 AM – 5 PM)
Type: Contract-to-Hire
Pay: $25-30/hour, based of experience
Overview:
We are seeking a highly organized and proactive individual to manage day-to-day operations and office administration. This person will be the go-to resource for all internal processes, vendor coordination, executive assistance, and light HR support. The role also includes oversight of property management functions related to the company’s building.
Key Responsibilities:
Office Operations & Executive Support
Coordinate schedules, manage administrative workflows, and support general office functions
Liaise with external vendors for insurance, IT, office supplies, and equipment maintenance
Provide administrative assistance to accounting and project teams
Help maintain compliance with licensing, audits, and insurance requirements
Assist with calendar scheduling, travel arrangements, and document prep for leadership
Organize company events and manage new hire onboarding/offboarding
Track staff hours for client billing and assist with internal expense reporting
Oversee building maintenance and coordinate with service vendors
Handle communication with tenants and track access and alarm system records
Support ownership with leasing agreements and tenant documentation
Collaborate with accounting on budget tracking, rent collection, and reporting
Assist with inspections and compliance tasks such as backflow testing
Ideal Background:
Strong multitasker with proven success in office coordination or property administration
Effective communicator and problem-solver
Experience using QuickBooks, Microsoft Office, and Adobe or Bluebeam
Bachelor's degree preferred
Pay Details: $25.00 to $30.00 per hour
