This role is vital in ensuring smooth sales operations by managing orders from inception to delivery, maintaining accurate records, and addressing customer inquiries promptly. The ideal candidate will be adept at multitasking, possess strong analytical skills, and thrive in a fast-paced environment. This is a Direct Hire role located near Lincolnshire, IL.
Responsibilities:
- Oversee the complete order lifecycle, from initial receipt and processing through to final billing, including coordinating with overseas factories for production scheduling and managing import logistics.
- Proactively monitor order progress, communicate with customers and internal teams (including warehouse and logistics), and resolve any delivery issues to ensure timely and accurate shipments.
- Prepare commercial invoices and collaborate with freight forwarders to provide necessary documentation for international shipments, ensuring adherence to export regulations.
- Maintain and update customer pricing and material master files in SAP, generate monthly open order reports, and provide sales performance and margin reports to sales managers.
- Manage engine inventory levels, create inventory management reports, monitor customer supplier portals for demand changes, and forecast customer demand to optimize stock and prevent shortages.
- Respond to customer inquiries regarding sales orders and other matters in a professional and timely manner, providing excellent customer service and resolving issues effectively.
- Perform various administrative tasks, including data entry, document processing, spreadsheet maintenance, and process documentation, to support sales operations.
Qualifications:
- Proven experience in sales support, order entry, or a related administrative role.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Proficiency in data entry and experience with ERP systems (SAP preferred).
- Excellent written and verbal communication skills.
- Ability to perform basic mathematical calculations and data analysis.
- Knowledge of logistics and export procedures is a plus.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
