Project Coordinator

LHH is seeking a Project Coordinator that will play a crucial role in supporting project management activities by handling a range of administrative tasks. This position ensures that project operations run smoothly, schedules are adhered to, and documentation is maintained accurately. The role involves coordinating between team members, managing project documentation, and providing general administrative support to ensure project success. The ideal candidate will be fully on the market and available for a temporary position that has the potential to go permanent.


Key Responsibilities:


  • Administrative Support: Provide comprehensive administrative support to the project team, including managing schedules, arranging meetings, and handling correspondence. Prepare and distribute meeting agendas, take detailed minutes, and track action items.
  • Documentation Management: Maintain accurate and up-to-date project documentation, including plans, reports, and other project-related materials. Organize and file documents electronically and physically as needed.
  • Coordination and Communication: Facilitate communication between project team members, stakeholders, and other departments. Coordinate project activities and ensure that all team members are informed of deadlines, updates, and changes.
  • Scheduling and Planning: Assist in the development and management of project schedules. Track project milestones, deadlines, and deliverables, ensuring timely completion of tasks.
  • Reporting and Tracking: Monitor project progress and prepare regular status reports. Track project budgets, expenses, and resources, and assist in ensuring that projects stay within budget and on schedule.
  • Problem Solving: Address any administrative issues or challenges that arise, and provide solutions to support project efficiency and effectiveness.
  • Vendor and Resource Management: Coordinate with external vendors and contractors as needed. Assist in the procurement of project resources and ensure that all necessary materials are available for project execution.

Qualifications:


  • Education: Associate’s degree in Business Administration, Project Management, or a related field; Bachelor’s degree preferred.
  • Experience: At least 2 years of experience in a project coordination or administrative role. Experience in managing project documentation and schedules is highly desirable.
  • Skills: Strong organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., MS Project, Asana, Trello). Excellent written and verbal communication abilities.
  • Attributes: Detail-oriented with a proactive approach to problem-solving. Ability to multitask and manage multiple priorities effectively. Strong interpersonal skills and ability to work collaboratively in a team environment.
