Overview:

Our client, a reputable organization, is looking for a proactive, detail-loving multitasker to join their team as an Executive Assistant / Billing Specialist. This role is perfect for someone who thrives in a fast-paced environment, enjoys variety in their day, and isn’t afraid to jump in, ask questions, and get things done. If you’ve got experience in a CPA, financial, or legal setting—that’s a huge plus!

Key Responsibilities:

  • Support the Managing Partner with day-to-day organization, scheduling, and communication

  • Manage inbox communications and respond to clients professionally and promptly

  • Create agendas, coordinate meetings, and maintain both digital and physical files

  • Interact with clients daily—delivering top-tier customer service with a warm, professional presence

  • Communicate with attorneys and third parties to gather information and resolve questions

  • Proofread and edit all outgoing communications for clarity and accuracy

  • Oversee client billing processes:

  • Clean up historical billing records

  • Ensure time entries reflect productive, billable work

  • Maintain accurate, time-based billing practices

  • Tackle additional administrative tasks as needed

Qualifications:

  • Prior experience in an executive support or billing role (law firm or CPA/financial industry experience is a big bonus!)

  • Excellent communication skills and a welcoming, professional demeanor

  • Strong grammar, writing, and proofreading skills

  • High attention to detail and strong data entry skills

  • Basic math skills required; bookkeeping experience is a plus

  • Comfortable working with a variety of personalities and not easily rattled

  • Curious, eager to learn, and not afraid to ask questions

  • Willingness to work extended hours during busy season (January–April)
