Hi there!
We are looking to add an Accounts Payable Supervisor to our well-established accounting team in our Menlo Park office! We’re a well-established property management firm (specializing in multi-family properties) and are looking to add to our team due to some significant growth!
We need a hands-on, detail-driven Accounts Payable Supervisor to lead our dynamic AP team of eight in a high-volume, multi-entity environment. This role is key to ensuring the smooth execution of daily AP operations—including invoice processing, vendor payments, and expense management—while optimizing workflows through our Entrata platform.
While we are certainly looking for a qualified candidate on paper, who you are as a person matters greatly to us as we have a very collaborative team with each member of our accounting department assisting where needed.
We are currently working an onsite schedule in our Menlo Park, CA office
This is a direct hire position
The compensation for this role ranges from 85,000-100,000/year

Key Responsibilities:
Lead, coach, and support a team of 6 AP Specialists and 2 AR Specialist, fostering a collaborative and accountable work culture.
Oversee the full AP cycle: invoice approvals, payment processing, vendor onboarding, and 1099 compliance.
Ensure accurate and timely invoice entry and processing using Entrata.
Provide ongoing training and development for AP staff; conduct performance evaluations and set clear team objectives.
Maintain compliance with internal policies, GAAP standards, and internal controls.
Resolve vendor inquiries and discrepancies efficiently and professionally.
Continuously assess and enhance AP processes to improve accuracy and efficiency.
Support month-end close by reconciling AP sub-ledger to the general ledger.
Generate reports and assist with internal and external audits as needed.
Qualifications:
Minimum 5 years of AP experience, including 1–2 years in a leadership or supervisory capacity (supervisory experience required).
Proficiency with Entrata or similar property management/accounting platforms (e.g., Yardi, AppFolio, NetSuite).
High volume invoice processing experience or comfort with high volume transactions a must.
Solid understanding of AP workflows and accounting principles.
Strong leadership, communication, and organizational skills.
Advanced Excel skills and experience with accounting software.
Ability to manage competing priorities and meet tight deadlines with precision.
Background in real estate, property management, or multi-entity operations nice to have.
Familiarity with California tax laws and 1099 reporting requirements.
Experience with automated AP systems and digital invoice processing.
