Location: Onsite in Mesa, AZ
Schedule: Monday – Friday, 8 AM – 5 PM
Compensation: $23 to $25/hour
Overview
We are seeking a detail-oriented Invoicing Clerk to handle AIA invoice processing, reconciliation, and waiver management. This role ensures accurate billing, compliance with general contractor requirements, and efficient financial operations. The ideal candidate will have experience in AIA billing or construction AP, be able to read and understand a contract to ensure accurate billing and have the ability to meet deadlines.
Key Responsibilities
Invoice Processing & Reconciliation
- Verify billing accuracy by cross-referencing work tickets and completed work.
- Maintain invoice records and ensure all backup documentation is stored correctly.
- Process new invoices and submit them to general contractors on schedule.
- Work with the AP/AR Clerk to ensure accurate payment records.
- Update labor hours in Aspire for proper billing.
- Submit invoices following daily invoicing procedures.
- Track invoice submissions and approvals
- Manage waiver issuance, including conditional, unconditional, and final waivers.
- Verify purchase receipts to ensure correct cost assignments.
- Assist with auditing material purchases and receipts.
- Maintain up-to-date certificates of insurance and ensure compliance.
- Review and manage contracts, budgets, closeouts, warranties, and approved change orders.
- Obtain and submit signed supplemental change orders for pay applications.
- Process pay applications on or before deadlines.
- Ensure work tickets and invoices are accurate to prevent billing discrepancies.
- Strong attention to detail and organizational skills.
- Experience in AIA billing, interpreting contracts to ensure accurate billing.
- Experience with Aspire, Textura, Procore, or similar platforms is a plus.
- Ability to manage deadlines and communicate effectively.
Pay Details: $23.00 to $25.00 per hour
