Position: EXECUTIVE ASSISTANT
Type: direct hire
Location: HYBRID 3-4 days onsite (77477 zip code)
Pay Range: $90,000-115,000 annually DOE
Work Schedule: Mon-Thurs (9 hours/day) & Fri (½ day)
SUMMARY:
The Executive Assistant to the CEO will serve as a trusted partner, providing high-level strategic and administrative support to the Chief Executive Officer. This role is integral to ensuring the efficient management of the CEO’s time, priorities, and communications, allowing the CEO to focus on leading the organization. The ideal candidate is a highly organized, adaptable, and detail-oriented individual with exceptional problem-solving abilities and strong communication skills.
DUTIES:
Strategic Planning and Execution:
o Collaborate with the CEO in the development and implementation of strategic initiatives, ensuring alignment with the organization’s goals.
o Act as a liaison between the CEO and senior leadership, facilitating cross-functional collaboration and communication.
· Office and Resource Management:
o Maintain an organized, efficient, and professional workspace for the CEO, optimizing resources and office operations.
o Manage executive office budgets, procurement, and other administrative functions as needed.
Calendar and Schedule Management:
o Oversee and coordinate the CEO’s calendar, ensuring efficient time management and prioritization of key meetings and events.
o Proactively anticipate the CEO’s needs, managing requests for time and attention in line with organizational priorities.
· Communication Management:
o Serve as the primary point of contact for the CEO, managing communications with internal and external stakeholders.
o Draft, review, and manage correspondence on behalf of the CEO, ensuring clear and effective communication.
· Meeting and Event Coordination:
o Plan, organize, and facilitate meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
o Coordinate and manage high-profile events, presentations, and conferences, representing the CEO as needed.
· Project and Initiative Management:
o Assist the CEO in managing and tracking key projects and initiatives, ensuring timely progress and successful completion.
o Coordinate with various departments to ensure project milestones are met and align with overall organizational objectives.
· Travel and Logistics:
o Arrange and oversee travel itineraries, accommodations, and logistics for the CEO, ensuring seamless travel experiences.
o Manage complex travel schedules, adapting to changes and resolving any issues that arise.
· Special Projects and Research:
o Lead or support special projects as assigned by the CEO, conducting research and providing insights or recommendations.
o Prepare reports, presentations, and other documents, ensuring accuracy and relevance to the CEO’s objectives.
QUALIFICATIONS:
· High School Diploma required; Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
SKILLS:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Superior organizational and time-management abilities.
Strong written and verbal communication skills.
Ability to handle sensitive and confidential information with the highest level of discretion.
EXPERIENCE:
Minimum of 8 years of experience in an executive assistant role or similar, with at least 3 years supporting C-level executives.
Proven experience in project management and strategic planning.
