Position Summary
We are seeking a highly organized and proactive Executive Assistant to support senior leadership at a dynamic financial services firm in Manhattan. This role requires a polished professional with exceptional communication skills, a high degree of discretion, and the ability to manage complex schedules and competing priorities in a fast-paced environment.
Key Responsibilities
Provide high-level administrative support to senior executives, including calendar management, travel coordination (domestic and international), and meeting logistics.
Serve as a liaison between executives and internal/external stakeholders, ensuring timely communication and follow-up.
Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
Manage confidential information with discretion and integrity.
Coordinate board meetings, investor calls, and offsite events, including agenda preparation and minute-taking.
Handle expense reporting, invoice processing, and budget tracking.
Support personal administrative needs as required (e.g., scheduling family-related logistics, coordinating with household staff, etc.).
Maintain office supplies and ensure the smooth operation of executive office functions.
Qualifications
Bachelor’s degree preferred.
Minimum 5 years of experience supporting C-level executives, ideally within financial services, private equity, or investment banking.
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
Strong interpersonal skills and a professional demeanor.
Ability to work independently and anticipate needs.
Flexibility to respond to after-hours requests when necessary.
Compensation
Competitive base salary (up to $120,000 depending on experience).
Comprehensive benefits package including health, dental, vision, 401(k), and paid time off.
Pay Details: $110,000.00 to $120,000.00 per year
