Position Summary

We are seeking a highly organized and proactive Executive Assistant to support senior leadership at a dynamic financial services firm in Manhattan. This role requires a polished professional with exceptional communication skills, a high degree of discretion, and the ability to manage complex schedules and competing priorities in a fast-paced environment.

Key Responsibilities

  • Provide high-level administrative support to senior executives, including calendar management, travel coordination (domestic and international), and meeting logistics.

  • Serve as a liaison between executives and internal/external stakeholders, ensuring timely communication and follow-up.

  • Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.

  • Manage confidential information with discretion and integrity.

  • Coordinate board meetings, investor calls, and offsite events, including agenda preparation and minute-taking.

  • Handle expense reporting, invoice processing, and budget tracking.

  • Support personal administrative needs as required (e.g., scheduling family-related logistics, coordinating with household staff, etc.).

  • Maintain office supplies and ensure the smooth operation of executive office functions.

Qualifications

  • Bachelor’s degree preferred.

  • Minimum 5 years of experience supporting C-level executives, ideally within financial services, private equity, or investment banking.

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively.

  • Strong interpersonal skills and a professional demeanor.

  • Ability to work independently and anticipate needs.

  • Flexibility to respond to after-hours requests when necessary.

Compensation

  • Competitive base salary (up to $120,000 depending on experience).

  • Comprehensive benefits package including health, dental, vision, 401(k), and paid time off.



Pay Details: $110,000.00 to $120,000.00 per year
