LHH is seeking a highly organized and proactive Executive Assistant to support the CEO for an impressive manufacturing company in Norcross, GA. This role is ideal for a resourceful individual with a positive attitude, excellent communication, and organizational skills. The Executive Assistant will embody our core values and play a key role in ensuring smooth and efficient operations within our organization.
Key Responsibilities:
Calendar Management: Efficiently manage the CEO’s calendar, schedule meetings, and coordinate appointments. Ensure the CEO is well-prepared for meetings with all necessary materials.
Communication: Serve as a primary point of contact between the CEO and internal or external colleagues. Handle information flow in a timely and accurate manner.
Meeting Preparation and Minutes: Prepare for meetings by creating agendas, taking minutes, and following up on action items. Organize company-wide events, such as the annual spring picnic, Thanksgiving, and holiday parties.
Travel Arrangements: Organize travel arrangements including flights, car rentals, hotel reservations, and restaurant bookings. Manage arrangements for incoming Board Members.
Report Preparation: Prepare internal and external corporate documents for the CEO and the board of directors.
Confidentiality: Maintain strict confidentiality of sensitive information.
Project Management: Assist with special projects, provide support, and ensure deadlines are met.
Other Duties: Perform other tasks as assigned.
Travel Demands: Anticipated domestic and international travel is approximately 10-25% depending on business needs.
Qualifications:
High School Diploma or equivalent required; Bachelor’s Degree preferred.
3-5 years of proven experience as a personal assistant, executive assistant, or in a similar role. Experience working in a fast-paced environment, ideally within the manufacturing industry.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google platforms, Slack, Gmail, Adobe Acrobat, and Social Media. Experience with Concur and expense management preferred.
Ability to anticipate the needs of the CEO and act proactively. Demonstrated strong organizational and time-management skills. Effective communication and discretion in handling sensitive information.
Must be able to handle random tasks, assist other executives as needed, coffee runs, and plan corporate events, including international ones.
