Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to support our client’s team. The ideal candidate will be responsible for managing the day-to-day administrative tasks, ensuring smooth operations, and providing high-level support to our executives. This role requires excellent communication skills, attention to detail, and the ability to handle confidential information with discretion. This is a Contract to Hire opportunity located near Oak Brook, IL.

Responsibilities:
  • Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle incoming and outgoing communications on behalf of the executives.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Oversee the daily operations of the executive office, ensuring a professional and efficient environment.
  • Manage office supplies, equipment, and facilities to ensure they are well-maintained and stocked.
  • Coordinate with other departments to facilitate smooth workflow and communication.
  • Assist with the planning and execution of special projects and initiatives.
  • Track project progress, deadlines, and deliverables, ensuring timely completion.
  • Conduct research and gather information to support executive decision-making.
  • Handle sensitive and confidential information with the utmost discretion.
  • Maintain a high level of professionalism and integrity in all interactions.
  • Act as a liaison between executives and internal/external stakeholders.
  • Facilitate effective communication and collaboration across the organization.
  • Represent the executives in a professional manner in all interactions.

Qualifications:
  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Proven experience as an Executive Assistant or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to multitask and prioritize tasks effectively.
  • High level of discretion and confidentiality.

Job Details:
  • Contract to Hire
  • Pay is $30-$40 an hour, depending on experience
