LHH is seeking a dynamic and highly organized Executive Assistant to support a Chief Medical Officer (CMO) and play a critical role in Clinical Development, Global Medical Affairs, and R&D operations. This role requires a proactive professional who thrives in a fast-paced environment, has excellent attention to detail, and can manage complex scheduling, travel, and administrative support for high-level executives.
Executive Assistant – Chief Medical Officer & VP of Clinical Development
Location: Palo Alto, CA (Onsite, 5 days)
Duration: 6-7 Months
Key Responsibilities:
Provide high-level administrative support to the Chief Medical Officer.
Coordinate major calendars, including Board of Director coordination and executive team scheduling.
Monitor and manage calendar requests for key executives, ensuring priority alignment.
Assist with financial support for clinical development, including expense tracking and purchase order (PO) management.
Meeting coordination – logistics, catering, AV support, and minimal note-taking.
Event planning and virtual meeting support.
Domestic & international travel coordination (experience with Denmark and Japan is a plus).
Oversee vendor payments, purchase orders, invoice tracking, and payment approvals.
Support recruiting efforts, including scheduling interviews and candidate follow-ups.
Work closely with global teams, especially with colleagues in Denmark.
Provide project management support as needed.
Collaborate with a team of senior executive admins for additional support.
Engage with a fast-moving, adaptive, and forward-thinking work environment.
Requirements:
5 minimum years of experience as an Executive Assistant with a strong background in supporting senior executives, preferably in a healthcare or biotech environment.
Familiarity with the Sunshine Act
Ability to take initiative, adapt quickly, and think ahead in a high-energy setting.
Strong organizational skills, attention to detail, and problem-solving abilities.
Excellent calendar and time management skills, with the ability to juggle multiple priorities.
Comfortable with financial tracking, purchase orders, and expense management.
Strong communication and interpersonal skills, with a team-oriented approach.
Tech-savvy – experience with virtual meeting tools, scheduling software, and expense reporting platforms.
