Administrative Assistant

LHH Recruitment Solutions is partnering with a construction company near Tempe who is in search of a project coordinator to join their team. This job is Monday-Friday either 7am-4pm or 8am-5pm. You will be required to work fully onsite. The hourly pay range is between $24/hr-$28/hr DOE.
The Project Coordinator plays a key role in supporting project managers and field teams to ensure projects are executed efficiently, on time, and within budget. This position also helps manage billing and financial tracking to support accurate and timely invoicing. The ideal candidate will have strong communication, time management, and multitasking skills, along with a basic understanding of construction project billing.
Key Responsibilities:
- Coordinate daily project activities, schedules, and deliverables
- Assist project managers with preparing project documentation, including contracts, change orders, and permits
- Track project progress and update internal systems accordingly
- Manage billing processes, including tracking costs, preparing invoices, and following up on outstanding payments
- Communicate with vendors, subcontractors, and clients to ensure billing accuracy and resolve discrepancies
- Order materials and manage inventory for assigned projects
- Maintain organized project files and ensure documentation compliance
- Provide administrative support and ensure timely completion of project milestones
Requirements:
- 2+ years of experience in a project coordination, billing, or administrative role (construction industry preferred)
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and project management or accounting software
- Ability to work independently in a fast-paced environment
- High school diploma or equivalent required; associate’s or bachelor’s degree a plus
