Legal Secretary – Estate Planning (Full-Time, On-Site) – Downtown Pittsburgh, PA


Salary: $50,000 – $65,000 annually

A reputable boutique law firm located in downtown Pittsburgh is seeking an experienced Legal Secretary to join their team. This full-time, in-office position offers the opportunity to support a group of dedicated attorneys focused exclusively on Estate Planning and Trust Administration.

This role is ideal for a detail-oriented, highly organized legal professional with strong administrative and document preparation skills, particularly in Wills, Trusts, Powers of Attorney (POA), and related legal documents.

Key Responsibilities:

  • Provide administrative and legal secretarial support to multiple attorneys and paralegals

  • Draft, edit, and format legal documents including wills, trusts, tax filings, estate planning forms, and letters

  • Handle time entry and billing using legal billing software (Coyote experience is a plus)

  • Maintain and organize digital and physical case files

  • Answer and route incoming phone calls; schedule meetings and conference rooms

  • Prepare and process mail, scan and save client documents to digital files

  • Assist with attorney calendars, vendor coordination, and occasional office-wide tasks

  • Support other legal secretaries during busy periods or when coverage is needed

Qualifications:

  • Associate degree or higher required

  • Minimum 5 years of experience as a Legal Secretary, Legal Administrative Assistant, or Executive Legal Assistant

  • Strong command of legal terminology related to estate planning and probate law

  • Excellent typing, proofreading, grammar, spelling, and math skills

  • Proficient with Microsoft Office Suite and Windows-based systems

  • Strong organizational, communication, and time management abilities

  • Self-starter with the ability to work independently and meet deadlines

Location:

Downtown Pittsburgh, PA (This position requires in-office presence Monday–Friday)

Compensation:

$50,000 – $60,000 per year, based on experience
