LHH has partnered with a great firm in Portland, OR who is seeking a dynamic and experienced Law Firm Administrator to lead the operational and administrative functions of their legal office.
Job Duties
Provide training and guidance to administrative staff on firm procedures and systems.
Supervise and mentor non-attorney personnel, offering support and performance feedback.
Lead recruitment efforts and assist in onboarding new administrative team members.
Conduct timely performance reviews and manage employee relations, including disciplinary actions and terminations in line with firm policies.
Oversee daily office operations, ensuring optimal use of staff and resources.
Manage IT systems, office equipment, and facility needs to maintain a productive work environment.
Collaborate with the Marketing Manager on budgeting and firm-wide initiatives.
Foster a positive and professional workplace culture through effective communication and team engagement.
Draft and prepare legal correspondence and documentation.
Participate in strategic planning with leadership to support the firm’s long-term goals.
Oversee or delegate accounting tasks such as accounts payable/receivable, financial reporting, and bank deposits.
Coordinate with external accountants for audits, tax filings, and compliance reporting.
Manage vendor relationships and service contracts.
Develop and implement operational and HR policies to ensure consistent service quality and compliance.
Support human resources functions as needed, including employee relations and policy enforcement.
Maintain confidentiality and ensure secure handling of sensitive information.
Required Skills & Qualifications
Exceptional written and verbal communication skills.
Strong interpersonal and client service abilities.
High attention to detail and professionalism.
Advanced knowledge of office administration, accounting practices, and legal operations.
Proficient in Microsoft Office Suite and related software tools.
Strong organizational and time management skills with the ability to delegate effectively.
Ability to work independently and maintain confidentiality.
Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field; or a minimum of 4 years of experience as a law firm administrator.
At least 5 years of experience in a senior management or leadership role within a legal or professional services environment.
