LHH has partnered with a great firm in Portland, OR who is seeking a dynamic and experienced Law Firm Administrator to lead the operational and administrative functions of their legal office.

Job Duties

  • Provide training and guidance to administrative staff on firm procedures and systems.

  • Supervise and mentor non-attorney personnel, offering support and performance feedback.

  • Lead recruitment efforts and assist in onboarding new administrative team members.

  • Conduct timely performance reviews and manage employee relations, including disciplinary actions and terminations in line with firm policies.

  • Oversee daily office operations, ensuring optimal use of staff and resources.

  • Manage IT systems, office equipment, and facility needs to maintain a productive work environment.

  • Collaborate with the Marketing Manager on budgeting and firm-wide initiatives.

  • Foster a positive and professional workplace culture through effective communication and team engagement.

  • Draft and prepare legal correspondence and documentation.

  • Participate in strategic planning with leadership to support the firm’s long-term goals.

  • Oversee or delegate accounting tasks such as accounts payable/receivable, financial reporting, and bank deposits.

  • Coordinate with external accountants for audits, tax filings, and compliance reporting.

  • Manage vendor relationships and service contracts.

  • Develop and implement operational and HR policies to ensure consistent service quality and compliance.

  • Support human resources functions as needed, including employee relations and policy enforcement.

  • Maintain confidentiality and ensure secure handling of sensitive information.

Required Skills & Qualifications

  • Exceptional written and verbal communication skills.

  • Strong interpersonal and client service abilities.

  • High attention to detail and professionalism.

  • Advanced knowledge of office administration, accounting practices, and legal operations.

  • Proficient in Microsoft Office Suite and related software tools.

  • Strong organizational and time management skills with the ability to delegate effectively.

  • Ability to work independently and maintain confidentiality.

  • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field; or a minimum of 4 years of experience as a law firm administrator.

  • At least 5 years of experience in a senior management or leadership role within a legal or professional services environment.
