Job Title: Legal Administrative Assistant – Litigation Team

We are seeking a sharp, organized, and tech-savvy Legal Administrative Assistant to join our Litigation team. This role provides critical administrative support to multiple attorneys and paralegals. Key Responsibilities

  • Legal Document Production: Draft, revise, and format pleadings, discovery, motions, and other litigation documents using Microsoft Word, Excel, and PDF tools.

  • File Management: Maintain both electronic and physical case files in accordance with firm guidelines and practice area procedures.

  • Court Procedure Knowledge: Apply working knowledge of North Carolina Civil Procedure to support filings, deadlines, and court requirements.

  • E-Filing: Confidently manage State and Federal e-filings.

  • Attorney Support: Coordinate daily operations for litigation practices, anticipate attorney needs, and ensure smooth workflow.

  • Matter Management: Conduct conflict checks, open new matters, and manage outgoing correspondence and filings.

  • Time & Billing: Enter and finalize time entries, assist with billing processes, and liaise with the Billing Department to ensure accuracy.

  • Calendar Management: Maintain Outlook calendars, track court dates and deadlines, coordinate travel, and schedule meetings.

  • Litigation Support: Coordinate court reporters and assist with logistics for depositions, hearings, and trial preparation.

  • Technology Utilization: Use tools such as DocuSign, Litera/Workshare Compare, Box, and scanning software to support team efficiency.

  • Team Collaboration: Contribute to special litigation projects and provide support wherever needed with a positive, proactive attitude.


Qualifications

  • Minimum of 1 year of experience as a legal, administrative, or executive assistant, preferably in a law firm or professional services setting.

  • Associate or bachelor’s degree preferred.

  • Solid understanding of litigation practices and North Carolina Rules of Court.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PDF tools (Adobe, PDF Docs).

  • Familiarity with tools like DocuSign, Box, Relativity, and Litera Compare is a plus.

  • Experience with document management systems (e.g., iManage, NetDocs), billing systems (e.g., Elite or E3), and records management systems (e.g., File Trail) is advantageous.

  • Exceptional organizational skills, attention to detail, and proofreading ability.

  • Ability to manage multiple projects and adapt to shifting priorities.

  • Strong interpersonal and communication skills.

  • Discretion in handling confidential information.

  • Availability to work onsite Monday through Friday, 37.5 hours per week (typically 8:30 AM–5:00 PM or 9:00 AM–5:30 PM), with flexibility for occasional overtime.

  • Ability to perform standard office tasks, including prolonged sitting, standing, typing, and lifting up to 20 lbs.
